Scheduling emails around booking, arrival and departure

Set the event, day offset and sending hour for automatic messages to accepted bookings.

Choose the correct base date

A template has one event: Booking created, Check-in date or Check-out date. This event provides the base date for the message. Booking created uses the original booking creation date, not the day on which you later accept the request.

Your own templates are scheduled for accepted bookings. A request that has not been accepted therefore does not automatically receive the full preparation sequence.

Setting days and time

  1. Open Email templates and add a template or edit an existing one.
  2. Select the required Event.
  3. Enter Day offset: negative before the date, zero on the same day and positive afterwards.
  4. Choose a whole hour under Time, such as 09:00 or 17:00.
  5. Complete the content, check Enabled and save.

Time is required. Homadu uses the platform’s time zone for scheduling. You cannot use a negative offset for Booking created.

Examples

  • Arrival information three days before: Check-in date, -3 days, 09:00.
  • Departure reminder on departure day: Check-out date, 0 days, 08:00.
  • Review request after departure: Check-out date, 2 days, 10:00.

Take care with existing bookings

Replan existing accepted bookings when the new timing should apply to them too. A date in the past is not a way to send the complete old email sequence retrospectively. Check short-notice bookings separately: a preparation email due three days beforehand may already be too late for a last-minute request.
